Contest Rules & Eligibility

1. Nature of contests

Tournaments and match-play brackets on Club Docket are private, skill-based golf competitions organized and operated by the individual private golf clubs (the "Host Club") on whose pages the events appear. Club Docket provides the software platform and payment rails; the Host Club is the contest sponsor and operator. No element of chance determines the outcome — winners are determined solely by golf performance.

2. Eligibility

  • You must be 18 years of age or older to enter any contest with an entry fee or cash prize.
  • You must be a current member of the Host Club, or an invited guest the Host Club has explicitly permitted to participate.
  • You must hold a valid Club Docket account in good standing.
  • Club Docket employees, the Host Club's contest administrators, and their immediate families are eligible to participate but may be subject to additional disclosure under the Host Club's own bylaws.
  • No purchase of any Club Docket product is necessary to use the free portions of the platform. Entry fees, when charged, are set by the Host Club and apply only to that specific contest.

3. Entry fees and prize pools

When a Host Club sets an entry fee for a tournament or match-play bracket, the fee and any associated prize pool are displayed before you confirm registration. Entry fees are collected via Stripe and held for the benefit of the Host Club. Prize pools are funded entirely from member contributions and are paid out per the Host Club's published payout structure for that event (e.g. 1st / 2nd / 3rd place splits).

4. How winners are determined

Scoring is based exclusively on golf performance using the format declared by the Host Club at event creation (Stroke Play, Match Play, Scramble, Stableford, Skins, Nassau, etc.). Ties are broken per the format's standard tie-break (typically scorecard countback) unless the Host Club publishes a different tie-break rule for the specific event. The Host Club's contest administrator has final authority on scoring disputes.

5. Odds of winning

Because outcomes are determined by skill, not chance, formal "odds" do not apply. Your probability of winning depends on the field size, your relative skill, and the format. Field size and confirmed participants are visible on every event's detail page before you register.

6. Refunds and cancellations

  • You may withdraw and receive a full refund up to 24 hours before the scheduled start time of the event.
  • Within 24 hours of start, refunds are at the Host Club administrator's discretion.
  • If the Host Club cancels the event before play begins, all entry fees are refunded in full.
  • If an event is shortened or suspended after play begins (weather, course conditions, etc.), the Host Club determines whether to declare an official result or refund entry fees per its own policies.

7. Prize payout

Cash prizes are disbursed via Stripe to the winners' connected accounts within 14 days of the event's official conclusion. Non-cash prizes are fulfilled by the Host Club directly. Club Docket does not retain a percentage of any prize pool.

8. Sponsor / operator disclosure

The legal sponsor and operator of each contest is the Host Club displayed at the top of the event's detail page. The Host Club is responsible for compliance with any applicable state, provincial, or national laws governing private club competitions, including any required gaming registrations or exemptions. Club Docket is a technology platform; we are not a party to or sponsor of any contest.

9. Conduct and disqualification

Participants must abide by the USGA Rules of Golf, the Host Club's local rules, and Club Docket's Terms of Service. Cheating, harassment, or any violation of the foregoing may result in disqualification, forfeiture of entry fee, and account suspension.

10. Disputes

Disputes about scoring, eligibility, or payout are resolved first by the Host Club's contest administrator. If unresolved, contact support@clubdocket.com and we will mediate. The governing law and dispute-resolution provisions of our Terms of Service apply.

11. Privacy

Your participation, score, and any prize payout are visible to other members of the Host Club on the event's leaderboard. See our Privacy Policy for details on what we collect and how it's used.
